When a slot or class is full, the waitlist gives clients a way to queue up for the next opening. Stillpoint handles the notifications and time-limited holds automatically when waitlist automation is enabled.
The waitlist is gated behind the waitlist feature flag. Automated offers are gated behind waitlistAutomation. If you don't see waitlist options, ask your account owner.
How it works
- A client tries to book a service or class that's full.
- They're offered the chance to join the waitlist instead, with their preferred service, practitioner, and location.
- When a spot opens (cancellation, reschedule, or capacity bump), the next client in line is notified automatically.
- The client gets an email with a time-limited hold to claim the spot.
- If they don't book within the hold window, the hold expires and the offer rolls to the next person.

Open Waitlist in the sidebar to see:
- Active waitlist entries grouped by service or class.
- Each client's position in the queue.
- Whether anyone currently has an active hold, with an expiry countdown.
Manage entries
- Remove a client when they no longer need the spot.
- Bump a client up the queue when needed.
- Manually offer a slot to a specific client instead of following queue order.
Hold expiry
When a spot opens, the next client gets a hold for a configurable window (24 hours by default). If they don't book within that window, the hold expires and the spot is offered to the next person. You can adjust the hold duration in your waitlist settings.
Tips
- Review the waitlist periodically to remove stale entries.
- Clients can remove themselves from the waitlist via a link in the email they receive when they sign up.
- A short hold window keeps the line moving; a longer one is more forgiving but slower to fill spots.
