If a client comes in every week or every other week, a recurring series saves you the trouble of creating each appointment by hand. Define the pattern once and Stillpoint generates the appointments for you.
Recurring series are gated behind the recurringAppointments feature flag. If you don't see the option, ask your account owner to enable it.
Create a series
- Open the Calendar and click the dropdown next to New Booking, then choose New Series.
- Pick the client, service, and practitioner.
- Pick a location if your practice has more than one.
- Configure the schedule:
- Frequency: every week, every 2 weeks, every 3 weeks, or every 4 weeks.
- Start date: the first appointment. The day of the week is inferred from this date.
- Time: the start time for every appointment in the series.
- Set an end condition:
- No end date keeps the series going indefinitely.
- End on a specific date generates appointments up to that date.
- After a number of sessions stops after a set count, up to 52.
- Optionally add notes that apply to every appointment in the series.
- Review the preview showing the next several dates, then submit.
The first batch of appointments lands on the calendar immediately. If a generated date conflicts with an existing booking, that occurrence is skipped and you're notified of the count.
Edit one occurrence
To change a single appointment without affecting the rest:
- Click the appointment on the calendar to open its detail panel.
- Update time, notes, or practitioner and save.
- Only that occurrence is changed.
Edit the whole series
To change every future appointment:
- Open any appointment in the series and click Edit Series.
- Update frequency, time, or other settings.
- Past appointments stay as they were; future ones pick up the new pattern.
Cancel
- One occurrence: cancel from the booking detail panel. The rest of the series continues.
- The whole series: open the series and click Cancel Series to remove all future appointments. Past records are preserved.
Tips
- The client gets a single confirmation email summarizing the series schedule.
- If a generated occurrence conflicts with an existing booking, it's skipped automatically.
- Always glance at the preview before submitting to confirm the dates look right.
