Recurring Appointment Series

Recurring series let you schedule a client for the same appointment on a regular cadence. Instead of creating each booking individually, define the pattern once and Stillpoint generates the appointments for you.

Creating a Series

  1. Navigate to the Calendar and click New Series (or go to Bookings > New Series)
  2. Select the client, service, and practitioner
  3. Choose a location if your practice has more than one
  4. Configure the schedule:
    • Frequency -- Every week, every 2 weeks, every 3 weeks, or every 4 weeks
    • Start date -- The first appointment date (the day of the week is inferred from this date)
    • Time -- The appointment start time
  5. Set an end condition:
    • No end date -- The series continues indefinitely
    • End on a specific date -- Appointments are generated up to that date
    • After a number of sessions -- Stops after a set count (up to 52)
  6. Optionally add notes that apply to every appointment in the series
  7. Review the preview showing the next several dates, then submit

After creation, the initial batch of appointments appears on the calendar. If any generated dates conflict with existing bookings, those occurrences are skipped and you're notified of the count.

Editing a Single Occurrence

To change one appointment without affecting the rest of the series:

  • Click the appointment on the calendar to open its detail panel
  • Make changes (time, notes, practitioner) and save
  • Only that occurrence is updated

Editing the Entire Series

To change the pattern or details for all future appointments:

  • Open any appointment in the series and click Edit Series
  • Update the frequency, time, or other settings
  • Changes apply to all future occurrences; past appointments are not modified

Cancelling

  • Single occurrence -- Cancel one appointment from the booking detail panel. The rest of the series continues as scheduled.
  • Entire series -- Open the series and choose Cancel Series to remove all future appointments. Past appointments and their records are preserved.

Tips

  • Use series for clients on regular treatment schedules to save time on manual rebooking
  • The client receives a single confirmation email summarizing the series schedule
  • If a generated appointment conflicts with an existing booking, it's automatically skipped
  • Review the preview card before submitting to confirm the dates look correct
