Click any appointment on the Calendar to open its detail panel. Everything about the appointment lives here:
- Client name and contact info
- Service, duration, and price
- Date and time
- Practitioner and location
- Status (scheduled, completed, cancelled, no-show)
- Internal notes and any clinical notes attached to the session
Rescheduling
There are two ways:
- Drag and drop. Grab the appointment block on the calendar and drop it on a new time slot. A confirmation prompt appears before the change saves.
- Edit form. Open the detail panel, click Edit, change the date, time, practitioner, or location, and save.
When you reschedule, the client is notified automatically with the new details.
Cancelling
- Open the booking detail panel.
- Click Cancel Booking.
- Optionally add a cancellation reason.
- Confirm.
The client receives a cancellation email. The appointment stays on the calendar with a faded style so you keep a complete history. If you've configured cancellation fees, the appropriate fee is applied based on how much notice was given. See No-Show Policies for fee setup.
Marking complete or no-show
After the appointment time passes, you can:
- Mark it complete to wrap the session and unlock notes, invoicing, and review request flows.
- Mark it no-show if the client didn't attend. Stillpoint can auto-process no-shows after a buffer window, so most of the time you won't need to do this by hand.
Tips
- Drag and drop is fastest for shifting an appointment within the same day or week.
- Cancellation reasons are searchable later, useful when you're tracking patterns.
- The calendar can be filtered to hide cancelled bookings if they're cluttering the view.
