A visit on a package or membership is a credit. When a client books a service the offering covers, the visit comes off their balance and no payment is taken for that booking. Which services are covered was set when the client bought the offering: any service, or the ones it picked.
Online bookings
Credits apply online only when the client is signed in to the client portal, so a visit is never spent on someone who only typed a matching email.
- A signed-in client with a package or membership that covers the service sees "Covered by your ..." with the visits left, in place of the payment step, and the booking is made with no charge.
- A signed-out client who has something to use sees Have a membership or package? Sign in to use it on the details step. The sign-in link brings them back to the booking.
- Booking for a family member is paid the usual way. A client's credits cover their own visits only.
- Class bookings work the same way: a covered seat uses one visit.
If nothing covers the service, or the last visit was used moments before, the booking falls back to your normal payment settings. When more than one package or membership covers a service, the one that expires soonest is used first.
Bookings made through your website or an embedded booking widget do not carry a portal sign-in. Send clients who hold a package or membership to your booking page.
At the desk
A visit can be applied to a booking that was made without one: a walk-in, a phone booking, or a client who booked before they bought. Open the booking and choose Use package or membership. With more than one eligible account it asks which. This spends a visit the client already owns; it never creates a purchase. The booking then shows Paid with the offering's name.
To take the visit back off a confirmed booking, choose Give the visit back on the booking. The visit returns to the client's balance and the booking is paid like any other visit.
Cancellations and no-shows
- A cancellation inside your cancellation window returns the visit to the client's balance, whether the client or the front desk cancels.
- A late cancellation or a no-show keeps the visit used, and no cancellation or no-show fee is charged: the visit is the fee. If you would rather charge the fee, give the visit back from the booking first.
When a booking is not covered
- A membership whose renewal is unpaid shows Renewal due and does not cover new bookings until the invoice is paid.
- A package past its expiry, or a cancelled membership, covers nothing.
- A booking for a service outside the offering's services is paid the usual way.
Invoices and reports
When a covered visit is completed, Stillpoint creates a paid invoice for it at the service's list price, marked "Paid with" the offering's name, with no tax because tax was charged on the sale. Reports keep these out of cash collected, and practitioner compensation is calculated on the list price.
