A gift card is stored value a client can spend on any invoice from your practice. Cards never expire and carry no fees. They are available on every paid plan, since they are sold through the shop on your Stillpoint website.
Gift cards under Billing lists every active card you have sold or issued and your most recent used-up and void cards, shows what is still outstanding, and lets you issue, resend or void a card.
Selling online
- Open your website editor and add a product with the type Gift card. Set its value as the price. Add one product per denomination you want to offer.
- Clients buy it from your website's shop like any other product. At checkout they can enter the recipient's name and email and a short message.
- When the payment lands, Stillpoint creates one card per unit bought and emails the code to the recipient, or to the buyer when no recipient was given.
No tax is charged on the card itself. Tax is charged when the card is redeemed, on the service it pays for.
Issuing at the desk
Choose Issue a gift card on the Gift cards page, or from a client's actions menu on their record.
- Sold in person records a paid invoice to the buyer for the card's value and the way they paid (cash, card at the terminal, cheque or other), so the sale reaches your invoices and reports.
- Complimentary creates the card without an invoice. A reason is required and complimentary cards are counted separately in your liability.
Either way you can add a recipient and a message. The code is shown on screen and emailed when there is someone to email it to.
Redeeming a card
At the desk: open the invoice, choose Record Payment, pick Gift card as the method and enter the code. Stillpoint checks the card and applies up to the invoice's balance. Whatever is left stays on the card.
Online: the client's pay link has a Have a gift card? option. A card that covers the whole balance settles the invoice with no card charge. A card that covers part of it is applied first, and the client pays the remainder by card.
Every redemption appears on the invoice as a payment with the method Gift card, and the card's balance drops by the amount applied.
Voiding a card
A card that has not been used can be voided from its row on the Gift cards page. A card that has been partly used stays live until it is used up.
If an online gift card order is refunded in Stripe, Stillpoint voids the unused cards the refund covers. When a refund cannot be matched to whole unused cards, you get an email and the decision is yours.
Your liability
The strip at the top of the Gift cards page shows what clients can still spend, what you have sold, and what you have given away. Reports keep redemptions out of cash collected, because the money arrived when the card was sold.
What clients see
Clients who sign in to the client portal see the cards bought for them or by them on the Billing page, with the code and the remaining balance.
