Invoice Line Items
Line items are the individual charges on an invoice. Each line item represents a service, product, or custom charge billed to the client.
Adding a Line Item
- Open an invoice in draft or edit mode
- Click Add Line Item
- Choose how to add the item:
- From services -- Select a service from your catalog and the name, duration, and price are pre-filled
- Custom item -- Enter a description and price manually
- Set the quantity (defaults to 1)
- The line total is calculated automatically
Editing Line Items
- Click on any line item to modify its description, quantity, or price
- Changes to line items automatically update the invoice total
- Remove a line item by clicking the delete icon on its row
Common Line Item Types
- Session fees -- Standard service charges (e.g., "60-Minute Massage -- $120")
- Package discounts -- Negative line items to apply discounts
- Late cancellation fees -- Custom charges for missed or late-cancelled appointments
- Products or supplies -- Any additional items sold to clients
Tips
- Use service-linked line items when possible to keep your records consistent
- Add descriptive text so clients understand each charge
- You can reorder line items by dragging them into your preferred sequence
- The invoice subtotal, any adjustments, and the final total are all calculated automatically
