Re-engagement Campaign Settings
Re-engagement campaigns automatically reach out to clients who haven't visited in a while. Configure thresholds, email content, and send behavior from the re-engagement settings page.
How Campaigns Work
Each campaign targets a specific engagement status and triggers after a set number of days since the client's last visit:
- Stillpoint monitors each client's last appointment date
- When a client crosses the configured threshold, the campaign activates
- Depending on the send mode, the email is either sent automatically or the client is flagged for manual review
Creating a Campaign
- Navigate to Settings > Re-engagement
- Click New Campaign
- Fill in the campaign details:
- Campaign name -- A label for your reference (e.g., "30-Day Check-In")
- Trigger after (days) -- Number of days since the client's last visit before the campaign fires
- Target status -- The engagement category to target:
- At Risk (15-29 days without a visit)
- Lapsed (30-89 days)
- Inactive (90-180 days)
- Churned (180+ days)
- Send mode -- Choose between Auto Send (emails go out automatically) or Flag Only (clients are flagged for manual outreach)
Email Content
Customize the email each campaign sends:
- Write a subject line and email body using the text editor
- Insert merge tags to personalize content:
- {{client_first_name}} -- Client's first name
- {{client_last_name}} -- Client's last name
- {{practice_name}} -- Your practice name
- {{last_visit_date}} -- Date of their most recent appointment
- Toggle Include Booking Link to add a "Book Now" button to the email
- Use the Preview button to see how the email looks with sample data
Managing Campaigns
From the re-engagement settings page you can:
- Toggle campaigns on or off without deleting them
- Edit any campaign to update its threshold, email content, or send mode
- Delete campaigns you no longer need
- View performance stats -- emails sent, clients rebooked, and conversion rate for each campaign
Summary Statistics
The top of the re-engagement page shows aggregate stats across all campaigns:
- Emails Sent -- Total re-engagement emails delivered
- Clients Rebooked -- Number of clients who booked again after receiving an email
- Conversion Rate -- Percentage of emailed clients who rebooked
Tips
- Start with one campaign targeting "Lapsed" clients at 30 days -- this is the highest-value group
- Use the Flag Only mode if you prefer to review clients before sending outreach
- Personalize emails with the client's first name and last visit date for better response rates
- Monitor conversion rates monthly and adjust your thresholds or messaging based on results
- Avoid creating overlapping campaigns that target the same clients at similar thresholds
