Email Editor & Automations

Stillpoint's email editor lets you customize every email your practice sends, from appointment confirmations to marketing campaigns. The automation builder takes it further with multi-step sequences triggered by client actions.

Email Types

Stillpoint includes eight email types you can customize:

  • Booking confirmation -- Sent when an appointment is booked
  • Booking reminder -- Sent before the appointment
  • Cancellation notice -- Sent when a booking is cancelled
  • Reschedule notice -- Sent when a booking time changes
  • Invoice -- Sent with billing details
  • Review request -- Sent after a completed appointment
  • Welcome email -- Sent to new clients
  • Custom campaign -- One-off or scheduled marketing emails

Editing an Email

  1. Navigate to Emails in the sidebar
  2. Select the email type you want to customize
  3. Edit the subject line and body content
  4. Use merge tags (e.g., {{client_name}}, {{appointment_date}}) to personalize content
  5. Add or remove CTA buttons and toggle content sections on or off
  6. Open the Design panel to adjust theme colors, fonts, and logo placement
  7. Click Send Test to preview the email in your inbox
  8. Click Save when you're satisfied

Automations

Build multi-step email sequences with the automation builder:

  • Create a trigger (e.g., new client, completed appointment, birthday)
  • Add steps -- each step is an email with configurable delay
  • Set conditions to branch the flow (e.g., only send if client hasn't booked again)
  • Enable or disable automations without deleting them

Tips

  • Use the send test feature before activating any changes
  • Birthday emails are a simple way to maintain client relationships
  • Keep subject lines short and personal for better open rates
