Email Editor

Emails is the editor for every transactional email your practice sends. Customize subject lines, body content, and design once; it applies wherever the email type is triggered.

Email types

The editor includes templates for:

• Booking confirmation sent when an appointment is booked.
• Appointment reminders sent before the appointment (configurable schedule).
• Cancellation notice sent when a booking is cancelled.
• Reschedule notice sent when a booking time changes.
• Receipt sent after a payment is processed.
• Follow-up email sent after a completed session (Solo and above).
• Birthday email sent on a client's birthday (Solo and above; configured under Sequences).
• Review request sent after a session to invite a review (Solo and above).
• Welcome email sent to new clients (also configurable as a multi-step sequence).

Edit an email

1. Open Emails in the sidebar.
2. Pick the email type you want to customize.
3. Edit the subject line and body content.
4. Use merge tags like {{client_first_name}} or {{appointment_date}} to personalize.
5. Toggle on or off optional content sections (cancellation policy, contact info, etc.).
6. Open the Design panel to adjust theme colors, fonts, and logo placement.
7. Click Send Test to preview the email in your inbox.
8. Click Save when you're happy.

Branding

Practice logo, address, phone, and footer information are pulled from your practice settings and applied to every email automatically. Update them once in Settings and every template stays in sync.

Tips

• Always send a test before activating a change. Spotting a typo in your inbox is easier than after it's gone out 200 times.
• Keep subject lines short. Mobile inboxes truncate after about 40 characters.
• Use merge tags rather than hand-typed names. They handle missing data cleanly.
