Birthday & Custom Email Sequences

Sequences automate client communication beyond welcome emails. Send automatic birthday wishes each year. Build custom multi-step flows triggered by completed appointments, no-shows, or intake submissions.

Birthday emails are available on Solo and above. Custom sequences are gated behind the customSequences feature flag, so if you don't see the option, ask your account owner.

Birthday messages

Send automatic birthday wishes to clients with a date of birth on file:

1. Open Settings → Sequences.
2. Find the Birthday Messages section and toggle it on.
3. Click Configure to customize:
   • Send time (e.g., 9:00 AM in the client's local time).
   • Subject and body with merge tags.
   • Include discount with an optional percentage off.
4. Save.

Birthday emails are sent once per year on the client's birthday. Clients without a date of birth on file are skipped.

Custom sequences

Build multi-step flows triggered by client events.

Create a sequence

1. Open Settings → Sequences.
2. Click New Sequence.
3. Pick a trigger event:
   • New Client
   • After Appointment
   • Appointment Cancelled
   • Intake Submitted
   • No Show
   • Manual Trigger
4. Add steps, each with a delay.

Steps

Each step has:

• Delay: how many hours after the previous step (or trigger).
• Action type: email, SMS, task creation, or webhook.
• Action content for the action type you picked.
• Conditions like "only if the client hasn't rebooked."

Manage

• Toggle sequences on or off without deleting them.
• System sequences (those Stillpoint created) can be enabled or disabled but not deleted.
• Edit any sequence by clicking through to the detail view.

Tips

• Birthday emails with a small discount are an easy way to encourage rebooking.
• Keep delays sensible. A follow-up 24 hours after a session feels natural; 10 minutes feels pushy.
• Use conditions to avoid sending emails to clients who already took the desired action.
• Test sequences with a test client before flipping them on for everyone.
