Welcome Email Sequences
Welcome sequences let you automatically onboard new clients with a series of timed emails. Instead of a single welcome message, you can introduce your practice, share helpful resources, and encourage a second booking over multiple touchpoints.
How It Works
When a new client signs up or books their first appointment, the welcome sequence begins. Each step in the sequence is an email that sends after a configurable delay from the previous step.
Setting Up a Sequence
- Navigate to Emails in the sidebar
- Open the Welcome Sequence section
- Review the default steps or click Add Step to create new ones
- For each step, configure:
- Email content -- Subject line, body, and any merge tags
- Delay -- How many days after the previous step to send (e.g., immediately, 2 days, 7 days)
- Reorder steps by dragging them into the desired sequence
- Toggle the sequence on or off from the top of the page
Example Sequence
- Step 1 (immediate) -- Welcome email with practice overview and what to expect
- Step 2 (2 days later) -- Tips for preparing for their first visit
- Step 3 (7 days later) -- Follow-up asking how their experience was, with a link to book again
Enabling and Disabling
- Toggle the entire sequence on or off without deleting your configuration
- Disable individual steps to skip them while keeping the rest of the sequence active
- Clients who are already mid-sequence continue receiving remaining steps unless the sequence is fully disabled
Tips
- Keep welcome emails short and helpful -- don't overwhelm new clients with too much information at once
- Include a clear call to action in each email (book again, complete intake form, follow on social media)
- Test the full sequence by creating a test client and watching the emails arrive
